Quickbot (“we”, “our”, or “us”) is committed to protecting your privacy. This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using Quickbot, you agree to the practices described here.

1. Information We Collect

Account information. When you create an account we collect your name, email address, and password (stored as a secure hash). If you sign in via a third-party OAuth provider we receive only the information that provider shares with us.

Content you provide. We store the website URLs, PDF files, Q&A pairs, and other materials you upload to train your chatbot. This content is used solely to operate the service for your account.

Website content. When you provide a website URL, we crawl and index pages from that site to build your chatbot’s knowledge base. Crawled content is stored as text in our database solely to power your chatbot. It is not shared with other users, not used to train our models, and is deleted when you remove it or close your account.

Usage data. We collect standard server logs including IP addresses, browser type, pages visited, and timestamps. We also record chatbot conversation logs so you can review them in your dashboard.

Payment information. Billing is handled by our payment processor. We do not store your full card number on our servers.

2. How We Use Your Information

  • Provide, operate, and improve the Quickbot service
  • Process payments and manage your subscription
  • Send transactional emails (account confirmation, password reset, usage alerts)
  • Send optional product updates and announcements (you may unsubscribe at any time)
  • Monitor for fraud, abuse, and violations of our Terms of Service
  • Comply with legal obligations and respond to lawful requests

3. Information Sharing

We do not sell or rent your personal data to third parties. We share information only with:

  • Service providers — infrastructure, payment processing, email delivery, and analytics vendors who process data on our behalf under strict confidentiality agreements.
  • AI providers — user queries and relevant knowledge-base chunks are sent to OpenAI to generate responses. OpenAI’s data usage policy applies to these requests.
  • Legal requirements — when required by law, court order, or to protect the rights and safety of Quickbot or others.

4. Cookies

We use cookies and similar technologies to keep you signed in, remember your preferences, and understand how people use our site. See our Cookie Policy for details.

5. Data Retention

We retain your account data for as long as your account is active. If you delete your account, we will delete your personal data within 30 days, except where we are required to keep it longer to comply with legal obligations or resolve disputes. Conversation logs are retained for 90 days by default and may be deleted earlier from your dashboard.

6. Security

We use industry-standard measures to protect your data, including TLS encryption in transit, AES-256 encryption at rest, and role-based access controls. No system is completely secure, and we cannot guarantee absolute security, but we take protecting your data seriously.

7. Your Rights

Depending on your location you may have the right to access, correct, or delete your personal data; object to or restrict certain processing; and export your data in a portable format. To exercise any of these rights, email us at privacy@quickbot.app.

8. Changes to This Policy

We may update this policy from time to time. When we make material changes we will notify you by email or by posting a notice in your dashboard. Continued use of Quickbot after changes take effect constitutes your acceptance of the updated policy.
